Conditions of Entry

1. Overview

Velvoras Handmade Pty Ltd ABN 53 664 692 586 trading as Velvoras (referred to in these terms as “Velvoras”, “we”, “us”, and “our”) is committed to creating and maintaining a safe environment for all workshop attendees. This entails complying with all relevant laws, implementing policies and procedures to objectively manage risks, and fostering a culture of shared compliance responsibility.

These Conditions of Entry outline the responsibilities of all staff, visitors and workshop attendees. By registering for or attending any of the workshops or events hosted by us, you acknowledge and agree to these Terms.

If you do not agree to any part of these Terms, please reconsider booking with us or attending our venue. For questions or concerns, please contact us at enquiries@velvoras.com.au

2. Behaviour

2.1. Velvoras Visitors and Workshop Attendees

All visitors and workshop attendees must display and promote a safe, respectful, and inclusive environment for fellow guests, Velvoras staff, third-party personnel, and visitors.

This includes:

  1. Treating others with politeness, kindness, and courtesy
  2. Using inclusive and respectful language
  3. Respecting others’ privacy and personal space
  4. Caring for Velvoras’ property and facilities
  5. Following instructions provided by Velvoras staff

Velvoras maintains a zero-tolerance policy for any behaviour or outfit deemed rude, offensive, obscene, threatening, profane, or inappropriate - including nudity, unwelcome physical contact or gestures. Any guest engaging in such conduct may be refused entry or asked to leave the premises at the sole discretion of Velvoras staff. 

2.2. Velvoras Staff

All Velvoras staff must display and promote a safe, respectful, and inclusive environment for fellow guests, Velvoras staff, third-party personnel, and visitors.

This includes:

  1. Treating others with politeness, kindness, and courtesy
  2. Using inclusive and respectful language
  3. Respecting others’ privacy and personal space
  4. Wearing appropriate outfit and dedicated workwear
  5. Providing instructions that are fair, respectful, appropriate, and necessary
  6. Monitoring responsible behaviours by all guests, visitors and staff

3. Photography

3.1. Velvoras Visitors and Workshop Attendees

Visitors and workshop attendees are welcome to take photos or short videos during their session, provided that they agree to the following:

  1. Images/videos must feature only themselves or their group
  2. Photography must not disrupt the session, other guests’ experience, or our staff’s procedure
  3. Velvoras staff and third-party personnel must be asked for consent before being included in any images or videos, and their wish must be respected.
  4. Filming of entire sessions or substantial portions is not permitted.

Guests, visitors and staff are encouraged to report any privacy concerns to a Velvoras manager onsite.

Velvoras reserves the right to inspect, stop, or delete any photo or video content suspected to be inappropriate and may escalate matters to the relevant authorities if required.

Inappropriate photography or filming will result in immediate removal from the premises.

3.2. Velvoras Staff

Our staff may record parts of private or public classes or events for purposes such as social media content, internal training, and quality control.

Guests will be informed at the start of any session if recording is taking place and will have the opportunity to opt out of being filmed or photographed. Photos and recordings may be used in promotional materials by Velvoras or its associated entities.

Guests may withdraw consent at any time. While Velvoras retains ownership of all media captured, we will remove any identifiable images upon request as soon as reasonably practical—no later than two business days from the date of the request.

To request removal of a photo or video, please email enquiries@velvoras.com.au with the subject line “Urgent Photo Removal Request.”

Please note: No images or footage of minors will be captured or used without prior permission from a parent or guardian.

4. Environment

4.1. Surveillance

For the safety and security of all guests and staff, please be aware that video surveillance and silent alarms may be in operation.

4.2. Cleaning

Studios and equipment are cleaned and sanitised regularly between sessions, as applicable. If you notice anything that needs attention, please inform a Velvoras staff member.

4.3. Dress Code

Given the creative nature of the activity, guests are encouraged to wear comfortable and appropriate clothing. We kindly ask that attire does not display profanity or offensive slogans. While protective aprons are provided, Velvoras is not liable for any damage to clothing or personal belongings.

4.4. Personal Belongings

We kindly ask guests to bring minimal personal belongings or accessories. Please note that secure storage is not available, and Velvoras is not responsible for any loss or damage to personal items or clothing.

4.5. Smoking (including e-cigarettes / vaping)

All Velvoras premises and experiences are strictly smoke-free. Smoking, including the use of e-cigarettes or vaping devices, is not permitted under any circumstances on or at the entry of the premises.

5. External Food and Drink

At Velvoras, we understand that some guests may wish to bring their own food and drinks to enhance their event experience. To ensure a smooth and enjoyable experience for everyone, please carefully review the following terms:

5.1. Permitted Food & Drink

(a) Guests are welcome to bring their own food and beverages to the venue.

(b) A basic display area will be provided, along with limited fridge and freezer storage.

(c) Guests are responsible for ensuring that the volume of food and drink brought is manageable within the available storage and display space.

5.2. Cleaning & Maintenance

A $10 per person cleaning fee will apply to all bookings involving external food or drinks. This fee covers:

(a) Disposal of rubbish

(b) Wiping down of food service areas and surfaces

Please note: The cleaning fee does not cover any damage to the venue. Any damage to furniture, fixtures, or equipment caused during your event will be the financial responsibility of the guest or organiser.

5.3. Use of Space During Sessions

To maintain the flow and integrity of our creative workshops, we ask that:

  1. Food and drink be minimised during sessions for the best creative experience.
  2. Guests do not regularly get up during the session to access food and drinks.
  3. Staff will not be available to serve food or drinks during the session.
  4. Food and drink setups should not occupy a significant portion of the studio’s operational area or interfere with workshop activities.

Disruptions to the session caused by extensive food and drink arrangements may impact the quality of the experience and could result in:

  1. Incomplete artworks or workshop activities
  2. Overtime charges or early session termination

5.4. Planning Larger Events

If you are planning a celebration or gathering and would like to incorporate one of our creative experiences, we’re happy to assist. Please email us at enquiries@velvoras.com.au with the subject line: “Custom Quote for Event Venue and Creative Experience” to receive a tailored quote and availability.

6. Catering and Allergies

Guests may choose to add food and beverage options to eligible workshop experiences. By doing so, you agree to the following terms:

6.1. Catering Inclusions

  1. Each guest may select up to two food items and accompanying beverages as part of the catering add-on.
  2. Food offerings consist of light snacks, sourced from local catering suppliers.
  3. Menus are seasonal and subject to change based on supplier availability and ingredients.

Please note that food items may contain or come into contact with common allergens, including but not limited to: Peanuts, tree nuts, milk, eggs, sesame seeds, fish, shellfish, soy, lupin, and wheat (gluten).

6.2. Dietary Requirements and Allergies

  1. Guests must advise of any dietary requirements, food intolerances, or allergies during the event booking process or no later than 5 business days prior to the event, to allow adequate time for coordination with vendors.
  2. While Velvoras and its catering partners will make every reasonable effort to accommodate dietary needs and minimise cross-contamination, we cannot guarantee an allergen-free environment.

6.3. Health and Safety

  1. Guests acknowledge that all food is consumed at their own risk.
  2. Velvoras is not liable for any allergic reactions, illnesses, or health complications arising from the consumption of food or beverages provided.
  3. In the event that medical attention is required, you agree that Velvoras may share relevant information from your booking registration with emergency services or paramedics.
  4. Guests are solely responsible for any medical expenses incurred, and we strongly recommend maintaining appropriate personal or health insurance for participation in events.

By proceeding with your booking and selecting catering options, you confirm your understanding and acceptance of these terms.

7. Emergency

In the event of an emergency, please follow all instructions provided by Velvoras staff. We recommend familiarising yourself with the clearly marked, unobstructed emergency exits in case an evacuation is necessary.

8. Our Rights

Velvoras reserves the right to:

Refuse guests’ entry to the premises on a temporary basis or permanent basis.

Request guests leave the premises without a refund, should they breach any of these Conditions of Entry.
