Venue Requirements (Customer Responsibility)

Please ensure your selected venue meets the following requirements prior to confirming your booking:

• Space: A minimum of 4–6 square metres of flat, stable surface in an indoor or under-cover area.
• Access: Safe unloading access with a clear path to the event space, including ramp and/or lift access where required. The venue must allow up to 30 minutes for unloading and provide suitable access for trolley use.
• Setup & Pack Down: A minimum of one (1) hour bump-in time for setup and one (1) hour for pack down.
• Parking: Available parking within a 10-minute walking distance of the venue.

By proceeding with and completing the order, you (the "Customer") agree to be bound by the following Terms and our overall Terms of Service:

1. Refund and Cancel Policy

Full payment is required to confirm booking. All bookings are non-refundable. We do not provide refunds for change of mind, scheduling conflicts, or personal circumstances. Customers may reschedule their booking to an alternative available date, provided at least 48 hours’ notice is given before the original session. Alternative availability is not guaranteed, though we will do our best to accomodate.

2. Venue Requirements

The Customer is responsible for ensuring all of the following:

Adequate space for setup;
Suitable indoor or weather-protected area for outdoor events; and
Clear and safe access for bump-in and pack-down.

Velvoras reserves the right to adjust setup if venue conditions are unsafe or unsuitable. If you are unsure about the suitability of the venue, please contact our team here to confirm on venue conditions.

3. Damage and Liability

The Customer accepts responsibility for any damage caused to equipment, fragrance dispensers, or display items during the event due to guest misuse or negligence. Any significant damage may result in additional charges.

4. Travel & Access

Additional travel fees may apply for locations outside standard service areas, which are areas within 15 kilometers of our studio located at 606 St Kilda Road, Melbourne VIC 3004. Please enquire with our team here to clarify travel fees prior to proceeding with confirming your booking. Parking must be provided or covered by the client.

5. Additional Costs & Responsibilities

Any additional costs incurred due to unsuitable or restricted access conditions—including but not limited to extended setup/pack down time, limited unloading access, or parking constraints—will be the responsibility of the customer.

Failure to meet the above requirements may impact our ability to deliver the experience as planned.

6. Force Majeure

Velvoras shall not be held liable for events beyond reasonable control including extreme weather, venue closures, government restrictions, or unforeseen emergencies.
